Entrance Point to Novotel
The entrance to the left goes down a ramp into a long tunnel that runs parallel to the bottom edge of the lower trade hall. This tunnel runs all the way through and brings you back out at the other end, so do not attempt to return the way you came in.
Collecting your Passes
When you come into the hotel, either through the lower loading road or through the first floor atrium, there will be a member of the team at the entrance. All of the team wear purple shirts with a callsign on the back of it, so you can differentiate them from others who might be wearing dragonmeet T shirts from previous years. We'll be printing off the full trader details including number of passes that have been ordered on the thursday, so you have until then to purchase any others that you might need. If you need to buy more on the day, that will be possible, but you may have to wait a short while till we get the payment terminals setup.
Setup and Teardown
We now have Lower hall access from 10:00 on Friday, and Upper hall access from 21:00 Friday due to Novotel running another event in the hotel through the day, our teams will be in from early morning, so if there are any issues, please contact us there.
On Saturday, the trade halls will be open to traders from 07:00 and all entrances will be available
The Halls will not be opened to the public till 10:00 on Saturday morning, and we will have a volunteer on all the doors till that time, but the Novotel will not allow us to open to the public until we have all the exterior egress points locked down, so we will be closing access at 09:45 on the Saturday morning in order to get everything prepared for opening up. We will endeavour to help where we can, but we cannot open the trade hall while the access doors are still open, so please be aware that without notification from you, we will close the accessway to ensure the show goes ahead when the time arrives. Any trader not arriving to the hall before the door closes will forfeit their stand space without recompense from Dragonmeet, so please get in touch if you’re having any issues. Stand spaces that are forfeit will be allocated to the traders surrounding the forfeit space.
When setting up, please move all your stock inside and then park your vehicle rather than leaving the vehicle on the entrance and then setting up your stall. Vehicles that have been on the door for more than fifteen minutes in busy periods will be asked to move to ensure everyone can get in to offload.
The Trade Halls are open till 18:00 on Saturday, and we will endeavour to clear the areas of attendees as soon as we can after that point. We will not be opening the lower doors to allow van access till after 18:00. We have the halls until midnight on Saturday, and the Novotel historically has had no issue with holding goods separately after we've handed the halls back to them, but those arrangements should be made with the Novotel direct.
Delivery of stock
We don't take possession of the building until 10:00 on Friday, so we're not in a position to receive stock for you prior to that. Novotel does allow predeliveries to the hotel, but we make no guarantee of those goods being received or stored. If you are arranging for stock to be delivered to the hall after 10:00 on Friday, please let us know and we'll keep an eye out for it.
Stall setup
The Novotel has had all the correct floorplans indicating clearly where everything should be, but should you arrive to find that your stall is missing something (or has too much of something), please let one of our volunteers know and we'll endeavour to get it sorted out. For those who are not sure of their positioning in the halls, please see the plans for the first floor trade hall here and the ground floor trade hall here
For those not familiar with how to gain access to the Novotel lower loading bays, see the details above. There is no free car parking on site, only a low roof car park beneath the Novotel and a few coach bays on the ground level that can be booked in advance if required. If anyone requires any assistance with this, please email John or on the day contact him on 07958682164 but please be aware that it's a very noisy hall, so if he doesn't respond immediately, please leave a message.
If there are any queries regarding any of this, email john as soon as possible.
We look forwards to seeing you there
John and Chris
